About the job

Duties and Responsibilities:

Assistance to the Founder
- Complete a broad variety of administrative tasks that facilitate the founder’s ability to effectively lead the organization including: managing his agenda, composing correspondence and maintaining contact list.
- Organize, prepare meetings and edit minutes (with shareholders and board of directors).
- Prioritize incoming issues and concerns addressed to the Founder, including those of a confidential nature, and determine course of action.
- Provide a bridge for smooth communication between the Founder and internal departments.
- Organize the founder’s international business trips and compile all the visa related documents.

Office Management
- Ensure a warm welcome & service.
- Follow-up and redistribute the mail and packages.
- Create and follow-up our employees’ professional materials (computers/phones/keys).
- Guarantee sufficient office supplies (tea, coffee, printing paper, etc..).
- Manage the housekeeping team.
- Organize the headquarters’ international business trips and compile all the visa related documents.
- Assist in finding and organizing the new HQ’s office.
- Organize and follow-up various events (team building, lunch...).

About you

About you :
- Minimum of 2 years’ experience as an assistant to head office.
- Strong organizational skills.
- Attention to detail.
- Fluent level of English and French both written and spoken.
- Mastering the pack office: Word, Excel, PowerPoint
- Mastering email tools.
  • Languages required: English and French.
