Department & Position Summary

The Club Event Manager will plan and manage all requirements for various member events as outlined in the member social calendar, including on-site and off-site. Communicates the needs and expectations for all member events with all departments in the hotel. Ensures successful execution of groups from the club’s standpoint and simultaneously, the members’ satisfaction. The ideal applicant must also possess the following essential functions and responsibilities, including;

Department & Position Summary

· The Club Event Manager will plan and manage all requirements for various member events as outlined in the member social calendar, including on-site and off-site. Communicates the needs and expectations for all member events with all departments in the hotel. Ensures successful execution of groups from the club’s standpoint and simultaneously, the members’ satisfaction. The ideal applicant must also possess the following essential functions and responsibilities, including;

· Partner with the Club Relations Manager to develop the twelve-month rolling calendar of member events.

· Create all membership communication for events, including save-the-dates and invites. Monitor member RSVPs and communicate with all operating departments for successful and profitable event execution

· Request & reserve function space via the Revmax process as needed to execute member events & communicate with the Sales Department the nature of the event being blocked.

· Create attractive menu designs and event pricing, to achieve both maximum revenue/profit potential while satisfying member expectations.

· Partner with preferred DMC and Décor Vendors to plan & design event themes, managing to the event budget.

· Source and secure Guest Speakers and hosts for desired event topics.

· Finalize the requirements of member events confirmed while ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event. Maintain an active trace/follow-up system.

· Ensure accuracy of Banquet Checks and Member account billing charges, and reconcile final event charges with accounting upon completion of the events.

· Manage the execution of the member events. Review all function space, and event expectations with banquet manager and when necessary, head house attendant.

· Plan & lead meetings in regard to member events with hotel staff and members, including but not exclusive to: Morning Operations Briefing, Golf Leadership, Golf Services, Resume Meeting,

Banquet Event Order Meeting, Resort Leadership, Member Social Committee, Planning Visits, and Menu Planning.

· Comply with Four Seasons standards for events services, while working harmoniously and professionally with team members and planning committee.

· As a manager, make timely and impromptu decisions, which balance members’ needs with the financial, safety and staffing goals of the hotel.

· Manage the inevitable challenges and glitches that arise while events are being executed and keep Club General Manager and Club Relations Manager promptly and fully informed of all problems or unusual matters so prompt corrective action can be taken where appropriate.

· Maintain knowledge of clubhouse, hotel facilities, capacities and dimensions of meeting space and basic operational needs of all operating departments.

· Comply with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact.

· Four Seasons Orlando is seeking candidates who have 2-3 years directly working with a club and/or resort, within the conference services department, and who already possess legal work authorization for employment in the United States.

· The ideal candidate will be open to work flexible schedule that will include early mornings and late nights, be detail oriented, have excellent communication skills, an engaging personality and be familiar with all aspects of the club event planning process.

Minimum Qualifications:

· Proven hotel and/or event planning

· Outstanding communications skills that improve team performance and teamwork

· Strong financial acumen, including forecasting

· Proven experience in club or resort menu designing

· Four Year College Degree

Other preferred Qualifications:

· Luxury experience with a private club program or resort

· Strong background in private club and resort member event development for increased membership relations
