About the job



The Reservations Sales Specialist is responsible for all room reservations aspects from group to individual travelers.  Provide guests with the highest level of personal service and deliver exceptional levels of service with every guest and every stay. This role will be working on both Dallas and Vail properties.

Job Responsibilities:

  • Process all group turn-overs:  making new group file, sending introduction letter to group contact, verify cut-off date, send cut-off date reminders, and verifying room block and rate information from booking recap, hard block suites or special room requests
  • Communicate all group activity – pickup, attrition and contractual guidelines to Group Contacts, Conference Service Managers and Sales Managers
  • Communicate all group activity to Director of Revenue Management to assist in making yield decisions
  • Review all guest reservations and profiles daily to prepare for arrivals, using the pre-arrival screen in Opera, minimum of 2 days prior
  • Profile Maintenance – focus on profiles created by new reservation agents, front desk and WRO, check for dates entry standards (last names, address, etc…), verify that none of the new profiles are duplicates, merge Duplicate profiles in Golden but not limited to cleanup in guests profiles
  • Monitoring and correcting various levels and standards of data entry into the Property Management System by different users in the hotel
  • Capture sales from in-coming reservations calls and coordinate details of each reservation. Complete internal reservation forms
  • Answer General Reservations e-mail, retrieve and distribute mail and process brochure requests
  • Process WRO, Trust, Internal Reservations, and FIT reservations
  • Run appropriate reports checking for special requests and hard blocking any rooms that are not hard blocked for special requests, inform Manager of any Special Attention, VIP
  • Contact guests or travel planners to clarify any discrepancies in the preferences or requests before guests’ arrival
  • Maintain Chat
  • Handle Golf and Spa Reservations


Job Requirements:

  • Previous hotel experience
  • Previous phone experience and basic phone etiquette skills
  • Able to communicate and understand well in English through verbal and written skills
  • Well organized and able to prioritize in a busy environment
  • Proficient computer skills and knowledge in Microsoft Office products, Opera, Salesforce and other programs as needed
  • Adaptable and able to learn new skills and tasks efficiently
  • History of working in a team environment and developing working relationships
  • Open to constructive feedback
