Come join our Four Seasons Family! We are hiring for a Project/Engineering Coordinator. The Project/Engineering Coordinator supports the engineering department to ensure resort success. A Coordinator is responsible for receiving and ordering supplies, managing various systems, communicating with vendors, clients, guests, colleagues, dispatching service calls, maintaining inventory and controlling the flow of material and equipment from the engineering department in a cost effective an efficient manner.

The Position/Role

The Project/Engineering Coordinator supports the engineering department to ensure resort success. A Coordinator is responsible for receiving and ordering supplies, managing various systems, communicating with vendors, clients, guests, colleagues, dispatching service calls, maintaining inventory and controlling the flow of material and equipment from the engineering department in a cost effective an efficient manner. 

Responsibilities

  • Ensures a smooth administration of the Engineering Department to the standard required by the Hotel and meeting deadlines set. Support Engineering Team with administrative tasks such as: a) Responding to inquiries via email, telephone, in person; b) Data entry of completed preventive maintenance work orders. Print out new work orders for distribution; c) Data entry of written purchase requests into electronic form. Order materials upon receipt of purchase order; d) Filing of packing slips for match-up with invoices and update ledger as funds are committed; e) Coordination of contract visits i.e. testing of smoke detectors, pest control, grease trap, landscaping, etc.; f) Managing various calendars, schedules, meetings, expenses, etc. 

  • Maintain complete and accurate records of all engineering reports, supplier agreements/contracts. Maintain files - create new files and file correspondence and contracts.

  • Become familiar with the hotel facilities crucial to the operation of the Engineering Department. To ensure that the engineering office and surrounding area is kept clean and organized at all times.

  • Developing and maintaining project plans, schedules, and budgets for projects to ensure that objectives are met

  • To monitor operating supplies and reduce spoilage and waste.

  • Directing the activities of a project from start to finish, including planning, organizing, scheduling, and general overview of projects.

  • Create costs analysis and/or bids for various projects.

  • Ensure effective communication within the department and with other operational departments in the Hotel during the shift.

  • Comply with Four Seasons standards, while working harmoniously and professionally with all colleagues, clients, vendors, etc.  

  • Comply with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact. 

  • Assists with responsibilities and duties in other areas of the resort.  

  • Auditing, ordering, organizing, hotel crunches, etc. 



Who You Are

  • College degree preferred, however not required.

  • 1+ year experience in an administrative/support role. 

  • Strong writing and oral presentation skills. 

  • Ability to multi-task in a high volume and demanding environment. 

  • Ability to remain calm during challenging situations. 

  • Strong computer skills. 

  • Strong communication and interpersonal skills that is friendly and helpful in disposition. 

  • Must be flexible with schedule – Able to work weekdays, weekends, holidays, overtime, and evening/overnights if needed. 

  • Strong problem-solving skills, ability to handle difficult situations and guests. 



This position is not eligible for work sponsorship/visa. Candidates must possess valid US work authorization.
