Job Title: Local Manager

Job Locations: Various - Greek Islands (Mykonos / Syros / Paros / Hydra / Tinos)

Job Purpose: Our local teams are a fundamental part of our service. Much of your time would be spent out on the road meeting clients/property owners, suppliers, ensuring quality across our properties, exploring the area, and cultivating a network of specialist suppliers capable of providing our clients with access to our destinations that other operators just can’t match.
You will use your love for our destinations to create amazing itineraries and organise unique experiences for our clients, surprising them with thoughtful touches. Working closely with our Experiences and Product Development teams, you will shape experiences through managing itineraries that include exciting activities such as private tours of historic towns and sites, cookery lessons with local chefs, chauffeured vineyard tours, boat charters, helicopter flights, cheese-making, guided treks and so much more.

JOB ACCOUNTABILITIES

Client support:
• Having an encyclopaedic knowledge of all The Thinking Traveller’s properties in your designated area, in particular, establishing and maintaining good working relationships with the owners (and their staff) and ensuring that communication with them is always smooth and diplomatic. Providing all the support and information needed in the resolution of problems
• Meet clients on arrival at the relevant property for a full check-in according to TTT procedures
• Should check-in time not be possible, contact the Client to establish another time to meet them



• at the property, make necessary arrangements for a comfortable waiting time and smooth check in
• Be available to meet clients (by driving to the relevant property) when required
• Be available for client requests throughout their stay to answer calls and messages, and to resolve situations promptly and in the interests of TTT
• Using TTT’s preferred suppliers, organise local activities, services and experiences for clients during their stay and keep the Experiences team up to date with any local booking confirmations, especially to facilitate the client’s payment for the same. This extends to any other specific arrangements that may be required, such as those relating to meals on special occasions or client celebrations
• Liaise with and support the in-villa team (property owner/caretaker/in-villa chef/cleaner etc.) regarding arrivals and clients (i.e. number and composition of group, arrival times, special requests etc.), providing them with training where necessary about TTT and client expectations
• Liaise with local providers to ensure that services booked by the ES team are organised accordingly
• Ensure that each arrival receives a Welcome Pack and a set of toiletries from TTT. Ensure the basic hamper list are available to clients

Seasonal preparation and quality audits:
• Conduct a quality audit of each property at the beginning of each season (and at the latest one month before the first client arrival of each season) keeping your manager and Client Relations team updated on any developments
• Conduct a Health & Safety Audit of each property at intervals defined by internal guidance
• Prior to each client arrival, ensure the relevant property is fully-functioning and prepared for clients by liaising with the property owner/caretakers and/or visiting the Property before the arrival of the clients
• Visit the Properties at least twice during each season, supporting and in collaboration with Properties and Experiences teams, to ensure that all the information on TTT’s website, House Guides and internal documents is accurate, clearly explained and up to date
• Report any defects and/or concerns relating to any of the checks described in this clause to Properties and/or Client Relations teams as soon as made aware

Client relations:
• Report any major issues raised or property damages and assist investigating the cause and relevant repair or replacement costs
(either directly or via property owner/caretaker) during a client’s stay as follows:
o inform the property owner, line manager and Client Relations team within 4 hours of being made aware
o promptly arrange an in-person visit to the client in order to assist the Client in person
o keep line manager and Client Relations team updated of any developments relating to the issue
o follow up and ensure the issue is resolved as quickly as possible to the client’s satisfaction
• Record any minor issues on TTT’s internal communication system
• If any issue cannot be resolved, liaise with manager and Client Relations team to find an alternative solution
• Assist line manager and Client Relations team in post-holiday client service issues where necessary

Services and experience management:
• Support product development team and introduce suitable third-party service providers to TTT
• Ensure that all services and experience suppliers adhere to the TTT Local Manager manual
• Support Experiences team with direct communication with experiences or local suppliers.
• Keep Experiences team up to date with any changes to the experiences or services and ensure that the quality standards of the experiences and services are defined and continue to meet the TTT standard
• Gain a full and detailed knowledge of the experiences and services so as to best assist clients



Marketing & Sales
• Support with the organisation of training trips for The Thinking Traveller team members
• Assisting with marketing initiatives as required by the business, taking an active role in sharing your expertise with the team through regular updates, training and assisting in training trips to the destination
• Support TTT’s marketing activities such as hosted press trips for the international media or influencers, PR trips, occasionally helping with the planning and execution of press trips (journalists visiting and/or staying in The Thinking Traveller’s villas)
• Work closely with the product development team, being proactive and actively seeking out business opportunities, useful contacts and suppliers capable of satisfying the requirements of The Thinking Traveller’s high-end, demanding clientele

Property sourcing and portfolio development:
• Take an active role in sourcing new potential properties by:
o collecting all necessary information on suitable opportunities
o providing support in preparing a proposal for the relevant owner / supplier
o where required, organise and execute research trips in order to introduce Properties team to properties and owners on the ground
• Assist TTT in onboarding new properties by:
o gathering all of the information required to accurately portray and sell these properties through the use of our internal systems
o support with coordinating photography of the destination, experiences and properties.
o Keep Properties team up to date with any changes to the properties and ensure that the quality standards are defined and continue to meet the TTT standard, including the Think Exquisite criteria list

Sobre ti

PERSON SPECIFICATION

• Impeccable English language skills, fluent and fully conversant in Greek, Italian or French would be an advantage
• A confident and articulate communicator with a love of travel
• Friendly and professional manner in person and over the phone, with fantastic listening skills
• Highly organised with great attention to detail and always diplomatic
• Team player but also able to work on your own initiative
• A quick thinker and an excellent problem-solver
• Be a resident of the destination you apply for, own a driving licence and a car (with the exception of Hydra)
• Excellent writing skills to compose emails, guides and letters to excite and inspire our clients / Computer literature (Microsoft Outlook, Word, Excel, etc)
• Experience with customer care of high-end clients would be an advantage/ Previous experience in luxury hospitality or villa management is an advantage
