What you will be doing:

The duty of the Event Sales and Services Manager is to effectively service all definite group acting as a liaison between the hotel and meeting planners and organization representatives.  This includes coordinating and executing all aspects of program arrangements necessary to ensure client objectives and expectations are met; including but not limited to meeting logistics, menu planning, management of guest room block requirements, billing arrangements and assisting with offsite recreational activities. This position also assists as necessary in the sales effort of events and meetings at the hotel and the coordinating and executing all aspects of event arrangements necessary to ensure client objectives and expectations are met. 

ACCOUNTABILITIES                                                                                                                  

The Event Sales and Services Manager is responsible for maximizing revenue opportunities (up selling food and beverage, meeting room rental, etc.) anticipating client needs and communicating all necessary and required details to the operations team, to ensure a successful meeting and assist in the rebooking process.

Accountabilities also includes establishing new accounts, generating revenue and profit, booking paces, maximizing guest service and re-booking business. 

 

DUTIES AND FUNCTIONS                                                                                                         

ESSENTIAL

Management of assigned confirmed groups and events.

Contact clients and confirm program, dates, times, event space requirement, expected attendance and other pertinent details.

Assist clients with guest room reservations, accounting procedures, food and beverage selections, audio visual needs, equipment rental, vendor referrals, transportation, recreational activities, and any other assistance needed.

Maintain pricing integrity and propose upscale menus for all groups.

In a timely manner per standards, prepare Event Orders for all functions, prepare group resumes and work with all departments of hotel involved in execution of respective functions.  Coordinate accurate, up to date changes and communicate them effectively.

Adjust event space in order to ensure maximum potential revenues.

Payment of Functions – Establish payment methods of catered functions.

Conduct Pre and Post Conference meetings.

Accurately forecasts individual booking revenues and cancellations; accurately tracks consumption on all bookings.

Assists the client in menu planning; coordinates food, beverage, meeting room set-up, and other services as requested by the client; assures that all requirements are communicated and completed to the clients specifications.

Participate in daily lead meeting to maximize revenues and communicate potential new business, weekly catering sales meeting, daily EO meetings as necessary and monthly department meetings

Attend EO meetings, Weekly Resume meetings, Group Pick-Up meetings and Departmental meetings.

Prepare contract agreements for any new business or in-conjunction business that may emerge following the original contract phase.

Finalize Programs – Develop menus and agendas, insure EOs are issued, and complete all pertinent correspondence with outside vendors.

Responsible for meeting and exceeding personal sales food, beverage and rental revenue budget and goals, monthly, quarterly and yearly.

Discusses event/program requirements, calculates costs, negotiates price and prepares sales proposals, suggests menu modifications in response to customer needs, and up sell services and resources to clients whenever possible.

Solicits and maintains ongoing contact with active accounts to promote repeat business; continuous contact with former accounts to identify the need for additional catering services.

Promotes catering services, food and beverage and event facilities through direct client contact to maximize profits from food & beverage revenues and meeting room rental.

Know relevant policies including menus and pricing, food handling, cancellations, service charges, guarantees, payment, shipping and receiving, etc.

Clearly communicates details of events to client and hotel departments via banquet event orders and internal meetings

Conducts tours of the hotel function space and guestrooms; entertains as necessary during planning stages and otherwise as appropriate.

When assigned, discusses catering requirements for assigned market segments, calculates costs, negotiates price and prepares sales proposals, suggests menu modifications in response to customer needs, and up sell services and resources to clients whenever possible.

Solicits and maintains ongoing contact with active accounts to promote repeat business; continuous contact with former accounts to identify the need for additional catering services and to solicit repeat business.

Promotes catering services, food and beverage and banquet facilities through direct client contact to maximize profits from food & beverage revenues and meeting room rental.

Maintains ongoing relationships with hotel clients and negotiates contracts and agreements.

Manages all logistics for events booked directly and effectively acts as the liaison to the various hotel departments to ensure top execution. 

As assigned, establishes client base of organizations, associations, social and corporate businesses through direct outside and inside sales effort.

  Present for client events at the hotel to insure a smooth delivery of arrangements

 Responds quickly to guest requests in a friendly manner. Follows up to ensure guest satisfaction within 24 hours.

Approach all encounters with guests and employees in a friendly, service-oriented manner.

Maintain regular attendance in compliance with Accor and Fairmont Copley Plaza Standards, as required by scheduling, which will vary according to the needs of the hotel.

Maintain high standards of personal appearance and grooming, which include adhering to the proper dress code and wearing nametag while working.

Comply at all times with Accor standards and regulations to encourage safe and efficient hotel operations.

Adhere to all Fairmont Opera Sales & Catering Standards and procedures including appropriate trainings

                                                                     

MARGINAL

Offer and implement innovative ideas, methods, and procedures to further streamline the department.

Service In House Clients – Establish contract with clients upon arrival, take care of immediate needs or concerns, review course of events, and introduce pertinent staff, (i.e. Event Operations Manager, Front Desk Manager, etc.)

Attend appropriate meetings.

Your experience and skills include:

Relevant sales experience is an asset

Ability to focus attention on guest needs, remaining calm and courteous at all times

Highly responsible & reliable

Excellent communication skills, both written and verbal required

Strong interpersonal and problem solving abilities .

Knowledge of food service skills, menu planning ability is helpful.

At least 3 years of Event Services or Catering Manager experience.  Bachelor’s Degree is required.
