Reservations Trainee

As a Reservations Trainee at Bay Street Group the primary responsibility will be to assist in the reservation process for both The Hyatt Regency Malta as well as The be.HOTEL. You will work closely with the reservations team to ensure smooth and efficient booking of services, accommodations, and further activities within the hotels.
As a Trainee you will be given the opportunity to learn about the reservation systems, customer service, and administrative tasks involved within the industry that go hand in hand with the reservations aspect of the running of the business.

Main duties and responsibilities are not limited to :
- Assist in handling reservation requests via phone, email, or online platforms.
- Input and update reservation information accurately and promptly on the system.
- Collaborate with team members to ensure efficient allocation.
- Maintain a comprehensive understanding of Bay Street Group's products, services, and pricing options.
- Help customers with inquiries, changes, or cancellations to their reservations.
- Ensure adherence to reservation policies and procedures.
- Provide excellent customer service by addressing customer inquiries and concerns promptly and professionally.
- Assist customers in choosing the appropriate accommodation based on their needs and preferences.
- Maintain a positive and helpful attitude when interacting with customers.
- Assist in preparing reports and maintaining accurate reservation records.
- Coordinate with other departments, such as housekeeping, sales, or front office, to ensure seamless service delivery.
- Help maintain inventory of available resources and update availability status as required.
- Support the team with general administrative tasks, including data entry, filing, and document management.

For this opportunity one must possess:

- High school diploma or equivalent; relevant certification or coursework in hospitality, tourism, or related fields is a plus.
- Strong attention to detail and ability to handle multiple tasks simultaneously.
- Excellent communication skills, both verbal and written.
- Customer-oriented mindset with a focus on providing exceptional service.
- Ability to work well within a team and collaborate effectively.
- Proficiency in using reservation software or the ability to learn new software quickly.
- Basic knowledge of administrative and office procedures.
- Good problem-solving skills and ability to remain calm under pressure.
- Flexibility to work in shifts, including evenings, weekends, and holidays, as required.
