  • Working knowledge of Word, Excel, Powerpoint
  • Knowledge of Delphi
  • Able to multi task and work under pressure
  • Knowledge of meeting space capacities and terminology of meeting room set ups
  • Food and beverage knowledge is an asset
  • Good understanding of all hotel departments particularly banquets, culinary, front office, engineering and housekeeping
  • Strong written and verbal communication skills in English


1 - General office process and activities to include but not to be limited to:

  • Preparing Client Contract Letters based on the information provided by the Catering Manager
  • Preparing Banquet Event Orders (BEOs) according to the information provided by the Catering Manager
  • Handling all internal events (reserving space in Delphi, issuing BEOs)
  • Preparing menu cards (no spelling mistakes) and double checking it with the Catering Manager prior to mass printing
  • Photocopying
  • Production of amenity requests and welcome cards
  • Production of expense reports and distribution to Accounting department
  • Organizing menu tasting photos in the necessary folders in share drive
  • Mailing of departmental correspondence
  • Copying and delivery of credit card authorization forms and signed contracts to Accounting department
  • Checking assigned mailbox of the department and distribution of the mail
  • Organizing archives every month
  • Holding space in Delphi per Catering Manager’s instructions
  • Checking list of the double accounts in Delphi every month
  • Assisting Catering Managers and Director​


2 - General list of department reports and distribution schedule to include but not to be limited to:

  • Every morning: Send daily birthday and anniversary list to department
  • Every Monday: Review the Deposit Report prepared by Delphi System Operator. Check the information in Delphi and share comments with the related Catering Manager
  • Everyday ready by 10:30am:
  • Print Event Summary Report for today, tomorrow and the day after.
  • Organize BEO file according to the list of the events in Event Summary Report. If there are any BEOs missing in the file, make a note of it on the report for the reason
  • Everyday ready by 4pm:
  • Send out Daily Events Report to BOP Catering OPS for today, tomorrow and the day after
  • Send out Daily Events Report for the next 15 days to BOP Catering OPS
  • Every Wednesday ready by 3pm:
  • Send out Daily Events Report to BOP Catering OPS for the next 10 days
  • Send out BEOs of the next 10 days along with the Event Summary Report
  • Distribute all the BEOs to related departments for the next 10 days and get their signature of acceptance
  • Every Thursday ready by 10:30am:
  • Print Event Summary Report for the next 10 days (today to next Sunday)
  • Organize BEO file according to the list of the events in Event Summary Report. If there are any BEOs missing in the file, make a note of it on the report for the reason
  • Distribute last minute change logs and pop up BEOs to related departments​
