What is the job?
As Cluster Assistant Director of Finance, you will be responsible for providing high-level support to the Cluster Director of Finance, and carry out tasks and requests as instructed.
Your day to day
People
•Promote teamwork and quality service through daily communication and coordination with key department heads.
•Be a role model by genuinely delivering on our Guest and Colleague Promises and living the Winning Ways.
•Promote teamwork and quality service through daily communication and coordination with other departments; key departmental contacts include Front Office, Food and Beverage, Catering, Sales and Reservations. Liaise and support other departments when assistance is required.
•Through collaboration with the Human Resources team, responsible for ensuring that the training needs of the accounting team are being met and that the training programmes are designed and implemented to meet colleagues’ needs. Ensure that accounting colleagues have the tools and equipment needed to effectively carry out their job functions.
•Provide input for probation and formal performance appraisal discussions in line with IHG guidelines; coach, counsel and discipline colleagues, providing constructive feedback to enhance performance.
•Plan for future staffing needs and recruit
Guest Experience
•Respond quickly to guest requests in a friendly manner. Follow up to ensure guest satisfaction.
•Ensure accounting practices, support the guest experience through payment options (example: credit card systems, room charges), inventory controls and financial dispute resolution.
•Assist in maintaining a comprehensive, current and guest focused set of departmental standards and procedures and oversee their implementation.
Interact with outside contacts: guests to resolve billing disputes and answer questions; to provide service to accounts and regional accounting staff to obtain or provide information
Financial
•Ensure Accounts Payable function is operating in accordance with company policies.
•Ensure Income Audit function is operating in accordance with company policies.
•Ensure General Cashier function is operating in accordance with company policies.
•Through the Credit Manager ensure that the Accounts Receivable function is operating in accordance with company policies.
•Through the Purchasing ensure the department is operating in accordance with company P&P. Consolidate into ‘Oversee day to day operation of the Accounting & Purchasing departments’
•Oversee the Payroll function and ensure that employees are paid in accordance with hours worked.
•Responsible for the month end close. Ensure hotel and corporate deadlines are met. Prepare the financial statements and distribute as requested.
•Responsible for preparation of the balance sheet reconciliations
•Ensure that policies and procedures are being followed in accordance with the HAM, Franchising agreement, CSA and EMS guidelines. Implement financial controls and policies where necessary.
•Management of internal and external audits when they occur.
•Active participation in Forecast and Budget process.
•Represent Director of Finance when the latter is not at the property.
•Liaise with Other Departments when they require help or have queries.
•Compliance with and implementation of Owning Reporting
•Proper management and archiving of all relevant commercial documents.
Responsible Business
•Ensure financial control procedures and systems are ethical and legal and full compliance is in place
•Distribute outlook and forecast information for departments to identify cost savings
•Minimise waste and reduce slow-moving items.
•Other ad-hoc duties – unexpected moments when we have to pull together to get a task done
•Manage hotel contracts (example: vendor leases and/or service contracts).
•Support in ensuring compliance of all applicable laws and regulations.
What we need from you
•University or equivalent degree in accounting or economics
•One or two years of employment in hospitality management or hospitality accounting
•Requires knowledge of all functions performed by the subordinate reporting directly or indirectly of the Hotel Director of Finance
•Requires advanced knowledge of the accounting, finance, and hospitality professions.
•Excellent comprehension and literacy required for reports, computers, ledgers.
•Good knowledge of Microsoft Excel, Word, Power Point
•Would be helpful to knowledge of Opera, People Soft, Fair planner, Protel, Sun.
•Good English written and speaker.
•Organized and good communicator
