What will I be doing?

As an Administrative Assistant within the Luxury Brands Category, you will have the administrative tasks associated with supporting the Senior Vice President Luxury Brands & Wellness, the Vice President of Global F&B, and the Vice President Brand Planning & Innovation. These tasks which include, but will not be limited to, departmental travel & event planning, calendar management, documentation, database management, electronic data filing, and invoice submission tracking. This Administrative Assistant will spread the light and warmth of hospitality through the work you do and your interactions with people.

More specifically, you will:

  • Maintain accurate and up to date databases, distribution lists and organizational charts.
  • Build and maintain partnerships with internal departments to resolve day-to-day administrative challenges.
  • Prepare expense reports through Hilton systems ensuring compliance to all guidelines.
  • Participate/plan meetings and set up/dial in for conference calls across global time zones.
  • Act as a liaison between various departments, suppliers and regional representatives.
  • Coordinate research, compile reports and develop presentations, as needed.

To fulfill this role successfully, you should demonstrate the following minimum qualifications:

  • High School Diploma/GED
  • Three (3) years of experience in a customer support, administrator or coordinator role in fast paced environment
  • Up to 5% travel
  • Proficient knowledge of Microsoft Word, Outlook, Excel, PowerPoint, and Outlook


It would be helpful in this position for you to demonstrate the following capabilities and distinctions:

  • BA/BS Bachelor's Degree
  • Intermediate to advanced MS Excel skills including; building macros, v-lookup tables and data manipulation
  • Two (2) years of Hospitality experience working on global projects
  • Experience executing large mail merges
