Conference Services Manager

As Conference Services Manager, you are an ambassador for our exceptional offerings of Fairmont Century Plaza. Reporting through to the Director of Conference Services, you will liaise between multiple departments to meet the needs and exceed the expectations of our clients.


What you will be doing:

  • Coordinate with internal and external stakeholders to ensure smooth planning and execution of group events
  • Evaluate every group event business opportunity to maximize revenue and profitability while achieving customer expectations
  • Take responsibility of the group function including maintaining the accuracy and effectiveness of all written communication. These procedures include but are not limited to: Menu and Event Proposals, Contracts, Banquet Event Orders, Group Resumes, Daily Events Report, and Opera S&C Input Standards.
  • Finalize the requirements of personally booked group room events while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event.
  • Ensure accuracy of Banquet Checks and provide bill review on completion of program or event
  • As needed, assist the client in menu planning, food and beverage coordination, table arrangements, decorations, traffic flow, room set-up, group room blocks and VIP services
  • Participate in meetings with hotel team and clients, including but not exclusive to: Morning Operations Briefing, Resume Meeting, Banquet Event Order Meeting, Sales Meeting, Pre-Convention Meetings, Menu Tastings and Planning Site Visits
  • Confer regularly with immediate supervisor, food and beverage teams, and other company personnel departments to plan, coordinate and evaluate services, activities/events, exchange information, resolve problems
  • Work with sales team to service and solicit new business

 


Qualifications


Your experience and skills include:

  • University/College degree in a related discipline preferred
  • 3+ years’ experience in catering and conference services required
  • Seasoned with an operation background
  • Strong organizational, leadership and project management skills are required
  • Must be able to lead a team, think strategically, and handle multiple projects
  • Demonstrated ability to drive the achievement of business goals through aligning people, process, structure, information, and communication systems
  • Excellent communication skills (verbal and written) required
  • Basic knowledge of audio-visual equipment, internet, telecommunication technology – helpful.
  • Knowledge of Opera Sales and Catering Software.
