Job Title: Villa Specialist

Job Purpose: Using your exceptional sales skills, product knowledge and experience you will match clients to the villa which will best suit their needs and go the extra mile to ensure that their expectations are exceeded.

Reports To: Sales Manager / Assistant Sales Manager

Working Partnerships: UK & Athens Villa Specialists, Experience Specialists, Local Managers, Finance and Marketing


Job Accountabilities

Client relationship management
• Working towards meeting and exceeding sales targets.
• Striving to improve sales conversion percentage.
• Responsible for creating and maintaining relationships with new and established clients and for ensuring all interactions are within the brand essence/brand document. Working to nurture relationships with a pro-active attitude to ensure clients book again.
• Collecting all relevant information from clients to ensure that the product we offer matches their requirements.
• Ensuring that all relevant information about each booking/particular group is accurately and completely recorded on our system to ensure smooth information flow between teams.
• Ensuring that your product knowledge is constantly kept up to date. This knowledge includes the villas themselves, the services and Think Experiences available and the areas in which they are located.
• Pro-actively encouraging clients to give feedback on our product and the presentation of villas on our website.
• Collaborating with and sharing knowledge with team members to help build and update the Villa Specialists’ team shared information
• Building professionally secure and engaging relationship with the owners.


Destination Specialist management
• Over time and as a long-term goal, develop your knowledge and expertise in a specific region to eventually become a Destination Specialist. As a Destination Specialist, you will act as the go-to person for that area and the villas located there for the Sales, Experience, Local and Properties teams.
• Participating in monthly catch ups with corresponding Experience Specialist and Local Manager about updates on the area and villas and feeding back to the Sales team.
• Keeping an eye on the bookings and performance of villas and pro-actively discussing with Sales and Properties teams.

Experience Specialist relationship management
• Liaising with Experience Specialists to check on information requested by client regarding extras and Think Experiences.
• Ensuring that all booking details, including clients’ contact details, are recorded on the notes to owners before passing the bookings to the Experience Specialist team.
• Assisting Experience Specialists during busy periods by responding to client questions as and when necessary.
Local Manager (LM) relationship management
• Liaising with Local Managers regarding specific requests the clients make before booking
• Ensuring that all booking details (group composition, including ages of children, repeat client/VIP, special birthday, particular arrangements) are recorded correctly in the notes to owner of the back page to ensure smooth flow of communication.
• Helping the Local Managers with any questions they might have about the booking in order to ensure they are able to assist the clients in the best possible way during their stay.
• Discussing any issues the client might have during the holiday with the Local Manager and where possible supporting the LM to deal with these problems
• Working with the LM once the client has returned from the holiday to discuss any important points before sending the client the feedback form.
Finance team relationship management
• Requesting information from the Finance team regarding payments/exchange rates
• Working alongside the Finance team regarding finance related questions, including processing of payments and cancellations
• Assisting the Finance team by taking balance payments when clients call to pay


Marketing team relationship management
• Ensuring that all data on our admin database is accurate and up-to-date for marketing purposes; this includes: assigning languages, selecting the correct source, checking communications preferences.
Going the extra mile
• Using your initiative to look actively for ways in which to improve the sales of the business and fulfil any other duties that may be reasonably expected to fall within your role.

Person Specification
• Previous experience of working in sales environment is desirable but not essential, luxury or travel industry experience would be a plus
• Experience of working towards targets and a drive to exceed these is desirable
• You should be able to demonstrate to us a genuine and collaborative selling style using your strong influencing and negotiation skills.
• You’ll need to show us that you can be adaptable and engage and build a rapport with clients from all over the world and from all types of cultural backgrounds. For this you’ll need to be a confident and articulate communicator with fantastic listening skills.
• You’ll need to demonstrate that you have excellent writing skills and be able to produce concise written responses to clients.
• You should be able to empathise with and prioritise client needs in order to be able to deal effectively with their requests and any issues they may present.
• You’ll need to show us that you are extremely organised, with great attention to detail and a talent for retaining and recalling information.
• You’ll need to demonstrate a passion and curiosity for all things Mediterranean.
• You should be flexible and be open to new and different ideas of working that will constantly improve both the team’s and your performance.
• Impeccable English both written and spoken.
• Experience of working with High-Net-Worth clients would be an advantage.
• Another language (French, Italian, Spanish or German) would be a plus.
